Prep Station

For catering sales & client care

Keep catering clients coming back One follow-up after every delivered order

When a catering order completes, Prep Station sends the client one email: your own survey, a Google review request, or a Yelp review request. Happy clients get the review link. Unhappy ones reach your team first, while the next event is still yours to win.

How post-delivery feedback keeps catering clients

01

Hear it before they leave

A low score reaches your team the moment it is sent, while there is still an account to save.

02

Turn great events into reviews

Clients who rate you highly get the review link for the kitchen that actually cooked their order.

03

Ask without wearing them out

Cooldowns, a daytime send window, and a feedback-only unsubscribe protect the relationship.

Most catering clients never complain. They just stop ordering.

A late drop or a cold pan on a Tuesday lunch rarely becomes a phone call. It becomes a quiet switch to someone else. Meanwhile your best events go unreviewed because nobody had time to ask. Prep Station asks after every completed order and sends each answer where it belongs: praise to your review page, problems to your team.

Take catering seriously

Retention is revenue. Every completed order is a chance to keep the account, or to learn exactly why you are losing it.

Score gating

Happy clients review. Unhappy ones reach you.

The client rates the order first. At or above your minimum, they are offered your Google or Yelp page. Below it, they get your internal questions instead and your team gets an alert with the score. Pick a score to see both paths.

Rules run top to bottom. The first match decides what the client is sent.

Routing rules

The right ask for every client

A 120-guest gala earns a public review request. An institutional account gets your private survey. An order with a rental incident gets nothing until you have made it right. Set a default, then add rules that choose per order. The first match wins.

  • Route by customer tag or type, first order, order total, guest count, order source, delivery or pickup, location, or rental incident
  • Each kitchen points at its own Google and Yelp listing
  • Force survey, Google, Yelp, or skip on any single order before it completes

Approvals & visibility

Nothing sends that you would not sign

Flip one switch and every email waits for approval. Leave it off and emails send on their own, and you can still hold the one client you know had a bad day, right from the order page. Every completed order leaves a row on the Feedback page, including the ones that never sent and the reason why.

  • Approve, skip, or switch Google to survey in one click
  • Filter responses to low scores and follow up the same day
  • Score history and next eligible date on every customer

After the handoff

The order ends at the curb. The account does not.

The follow-up rides on the same sales order your team quoted, cooked, and delivered, so every answer lands next to the order it is about.

It starts when an order on sales orders and quotes completes, after your Delivery Hub gets it to the client. Scores and opt-outs sit on the customer record your CRM pipeline already uses. See pricing for plans.

Questions catering teams ask

Straight answers about surveys, review requests, approvals, and not over-asking.

What does Prep Station send after a catering order?

One follow-up email per completed order: your internal survey, a Google review request, or a Yelp review request. You pick the default, and routing rules can choose per order.

Will turning it on email our past customers?

No. Feedback is off until you turn it on, and it never backfills. Only orders completed from then on get a follow-up.

How does score gating work?

Customers rate the order 1 to 5 first. A score at or above your minimum is offered the review link. A lower score gets your internal questions instead, and your team is alerted right away. Score gating is on by default; turn it off and Google and Yelp emails link straight to the review page.

Can we check emails before they go out?

Yes. One switch holds every email until someone approves it. Leave it off and emails send on their own, and you can still hold any single order from its order page.

Will clients get asked too often?

No. There is a 90-day cooldown after a delivered email and 365 days after a low score. Emails only send between 9am and 7pm in the kitchen's time zone, and clients can unsubscribe from feedback without losing quotes and invoices.

Can each kitchen use its own Google or Yelp page?

Yes. Each location can point at its own Google and Yelp listing, with account-wide links used when a kitchen has none.

Which plan includes customer feedback?

Post-delivery feedback comes with sales orders, so it ships in the Catering tier and above at no extra cost. See pricing for current plans.
