Apps
Settings > Apps lists every app PrepStation offers and shows whether each one is on, off, or not in your plan. Account admins can turn the apps in your plan on or off for everyone in the account.
Overview
Use Apps to keep PrepStation focused on what your kitchen actually uses. A kitchen that never buys through PrepStation can turn off Inventory & Purchasing, and the team will stop seeing stock screens, purchase orders, dashboard cards, and search results for it.
Each app card shows:
| Badge | Meaning |
|---|---|
| On | In your plan and available to your team |
| Off | In your plan, but turned off for this account |
| Not in your plan | Available on a higher plan. Use Upgrade to compare plans |
| Always on | Can't be turned off while it's in your plan (see below) |
Cards also list what an app includes, what it requires (other apps it is built on), and what it is required by.
Apps come as a whole
Each app turns on or off together with everything it includes. You can't keep modifiers without menus, menus or production without the storefront and orders they serve, or recipe books without recipes.
| App | Includes |
|---|---|
| Recipes | Recipe Player, Recipe Books, Public Recipe Sharing |
| Ingredients | Allergen Management |
| Labels | Packing & Item Labels, Nutrition Labels |
| Sales & Ordering | Menu Management, Modifiers & Combos, Production Planning, Customers, Sales Orders, Customer Payments, House Accounts, Online Storefront, Group Orders, Recurring Group Orders, Promotions & Coupons, Delivery Hub, Delivery Fees |
| Inventory & Purchasing | Vendors, Inventory, Purchase Orders, Vendor Invoices, Invoice OCR, Invoice Matching, Commissary & Transfers, Traceability Reports |
| Imports & Sync | Data Imports, External System Sync |
Nutrition, Meal Planning, CRM & Opportunities, Equipment Rentals, Attendance & Time Clock, Tasks & Checklists, Team Discussion, AI Chat Assistant, Reports, API Access, and Multiple Locations are single apps.
If your plan doesn't cover everything an app includes, the card marks those parts "not in your plan". For example, a plan with menus but no sales orders still has Sales & Ordering, with the selling parts marked. A part that also needs another app shows what it needs. For example, Traceability Reports in Inventory & Purchasing needs Sales & Ordering, because it traces lots through production.
Who Can Use It
| Role | What they can do |
|---|---|
| Admin | View the page and turn apps on or off |
| Anyone with account view access (for example, managers) | View the page, including what your plan includes and what an upgrade adds |
| Everyone else | No access to the page |
Turning an App Off
- Go to Settings > Apps
- Find the app and click its switch
- If other apps depend on it, PrepStation lists them and asks you to confirm. They turn off too
When an app is off:
- It disappears from the left navigation, the dashboard, omnisearch, and recent pages
- The AI assistant stops using its tools and data
- Its pages are closed. Admins and managers who open an old link land on Settings > Apps with a note explaining why. Other team members go to the dashboard
When an app is off, these keep working:
- Scheduled automations and background jobs
- Your online storefront and anything customers use
- API access
- Order totals, payments, and fees on existing orders
Your data is never deleted. Turning an app off only hides it.
Turning an App Back On
Click the switch again. If the app needs another app that is also off, PrepStation asks you to confirm and turns both on.
Everything comes back as it was: navigation, dashboard cards (including each role's dashboard layout), search results, and recent pages.
Tip: An app that shows "Off because Sales & Ordering is off" was not turned off directly. Turning it on also turns its required app back on.
Apps That Are Always On
Some apps stay on while they are in your plan:
| App | Why |
|---|---|
| Recipes, Ingredients | Every other app is built on them |
| Multiple Locations | Part of your plan's kitchens, not an app you can turn off |
| Sales & Ordering (when your plan includes the Online Storefront or Customer Payments), API Access | Your customers or API clients rely on them |
Apps that an always-on app needs are also locked on. For example, while Online Storefront is in your plan, Sales & Ordering, including your menus, can't be turned off.
Apps and Dashboard Roles
Settings > Dashboard Roles only shows cards for apps that are on. If you save a role's layout while an app is off, PrepStation keeps that role's choice for the hidden card. When the app comes back on, the card returns where you left it.
Troubleshooting
"This app is turned off for this account"
An admin turned the app off, or turned off an app it depends on. Ask an admin to turn it back on in Settings > Apps.
I can't find the switch
Only admins see switches. Always-on apps, apps outside your plan, and apps required by another app that is on have no switch.
A teammate still sees a page I turned off
Pages close on their next load. Ask them to refresh.
