Creating a Quote
A phone or email order starts as a sales order. You add the customer, the items, and delivery or pickup, then send the quote. The customer doesn't have to use the storefront.
Start the order
- Open Sales & Finance → Sales → Sales Orders
- Click New Sales Order
- Search Customer. This is optional, but a quote needs someone to send it to. Add the customer first if they aren't in the list. See Adding Customers
- Click Create Order
New Sales Order opens the customer search. Leave Create Order until the customer is the one you want.
The order starts as a draft. You can edit it, or archive it later from the list. Archive can be restored.
Add what they're ordering
On the order, click Add item.
- Search Search menu items
- Pick the item
- Set Qty
- Click the check button (Add item) or press Enter
Only published menu items with a price belong on a customer-facing quote. If the dish isn't in the search, add it on the menu first. See A Menu for Your Storefront.
Delivery or pickup
Use the Delivery / Pickup switch.
Add item and the Delivery switch are on the order. The switch saves as soon as you click it.
| Choice | What you fill in |
|---|---|
| Delivery | Delivery address. Saved addresses on the customer are listed |
| Pickup | The kitchen address. The delivery fee is cleared |
The switch saves on its own. Switching to Pickup removes the delivery address from this order. Switch back to Delivery if you still need to drop it off.
Set the service date and time on the order day. That time is what the kitchen and the driver plan around.
Send it
When the lines and the address look right, click Send Quote.
That emails the quote and moves a draft forward so the customer can review it. You can resend later. The button then says Send Quote with a Resend hint.
Nothing is confirmed until you click Confirm. Confirming tells the kitchen to make it. See Your First Order for the same button on website orders.
Note
After an order is confirmed, further edits wait on Confirm Update. That's covered in Editing Confirmed Orders & Refunds.
Common Questions
Q: I created the order and the customer is blank.
A: Customer was optional on the create form. Open the order and attach the customer before you send the quote.
Q: The item I want isn't in the search.
A: It has to be a menu item. Create it on the menu, give it a Base price, then come back to Add item.
Q: Can I reuse this order next month?
A: Yes. Save it as a template after it's built. See Order Templates.
